Work Schedule: Hybrid — in office Tuesday through Thursday; Occasional travel may be needed

Pay Range:  $27.41–$28.85 per hour, depending on experience

Classification: Non-Exempt; overtime eligible

 

About the Role

Are you highly organized, resourceful, and excited by the fast-paced world of experiential marketing? Havas Street is seeking an Assistant Account Executive to support the planning and execution of experiential programs and special campaigns. This role is ideal for someone who enjoys planning and bringing memorable brand experiences to life.

The Assistant Account Executive effectively supports experiential programs, including but not limited to research, logistics, planning, client interaction, on-site support and reporting, and assists in mentoring junior staff as requested.

Responsibilities

Events | Special Campaigns

●      Helps to manage client events, actively participates in the daily tasks involved, and procures venues

●      Helps to manage the permit process, including payment and tracking; may also be required to secure permits when necessary

●      Based on program, serves as the first point of contact for Brand Ambassadors, Field Managers, and Tour Managers, including problem solving and issue escalation

●      Creates and manages workback schedules and/or calendars based on event research

●      Communicates with vendors regarding program sourcing needs

●      Supports managing event logistics and experience planning

●      Helps track and review field inventory updates with AE and PM

●      Market travel as needed to support on-site activations, audits and trainings

Account Management

●      Has direct contact with clients for some day-to-day requests, requiring the highest level of professionalism and responsiveness

●      Creates agendas for internal weekly calls and meetings and captures all notes and deliverables to be shared to internal and external ​participants

●      Starts and participates in weekly and bi-weekly field calls and communicates/inquires key information to/from field staff

●      Reviews databases enhances for client programs when necessary

●      Monitors trend/industry news for each client and supports creating research reports for client competitor analysis

●      Reviews and accepts individual expenses for field teams, client specific

●      Creates all daily, weekly, program-end, and custom reports as requested

●      Assists in the creation of contingency plans for client programs

●      Assists project lead with budget tracking, invoice processing and field staff timesheets

●      Provides ideas for reporting, RFP response pieces, and program-planning documents with the team

Writing | Editing

●      Drafts client-ready emails, which may be reviewed by the AE or SAE prior to distribution to the client

●      Create staff training materials

●      Conducts outreach to vendors and partners (e.g. venues, production, etc.) and provides timely and accurate updates to the account team

Junior Staff Mentoring

●      Assists in managing junior staff team members’ daily tasks as requested

●      Monitors junior team members’ time to ensure they are operating on budget

●      Assists Intern Manager in providing feedback and edits for PCs on grammar, emails, tone, and content for documents

●      Edits client materials written by PCs, including research for clients

Other

●      Submits staffing requests to Recruiting and conducts staff interviews as needed

●      Provides recommended staff candidates from Talent Portal and PC review

●      Communicates frequent updates senior team members

Agency Contributions

●      Contributes positively to the culture, atmosphere, and values and exudes a positive outlook on their team

●      Establishes professional and respectful relationships with staff


Qualifications

Education: Bachelor’s degree in communications, liberal arts, business, or marketing

Experience: Two years of project management work experience. Experiential, event marketing or corporate events experience required. Health & wellness and beauty experience a plus.

Skills & Abilities Required: Exceptional writing, editing, listening, and verbal communication skills. Capable of multitasking, prioritizing, and organizing. Excellent attention to detail. Self-motivated and able to work well in a collaborative environment as well as individually. Great at time management and follow-up, results-driven, and proficient in Microsoft Office. Experience with Smartsheets project management system a plus.
